Building a follow-up routine

Turn on follow-ups, set the number of days and the message and call limits, add call, SMS and MMS actions with daily or weekly schedules, and save the routine.

The Followup Sequence tab sets up a recurring routine that keeps working your newer leads after their first day. You choose the actions, such as a call, a text or a picture message, and when each one runs, daily or on chosen weekdays. Bigly then runs the routine at those times for every lead that qualifies, until the lead converts, opts out, or reaches your limits.

It's separate from the first day follow-up, which handles the hours right after a lead comes in. A lead who is still working through first-day actions isn't picked up by this routine at the same time.

AI › Followup Sequence with the Configuration panel on the left (Message Interested Followup toggle, How many days to FollowUp, Maximum no of messages, Maximum no of calls, Update Config button) and the Routine panel on the right with a call action and an SMS action, the Add Call, Add SMS and Add MMS buttons, and Update Routine.

Before you start

  • Turn on Enable FollowUp Configuration on the Configure tab and click Update. The routine doesn't run while it's off.
  • Set your working hours. Actions only run inside them.
  • Set up your voice prompt and intros, and test them. Follow-up calls are normal AI calls.

Set the limits

  1. Go to AI › Followup Sequence.
  2. In the Configuration panel, fill in:
    • How many days to FollowUp: how many days after a lead was added they stay in the routine.
    • Maximum no of messages: the most follow-up texts a lead can receive.
    • Maximum no of calls: the most follow-up calls a lead can receive.
  3. Click Update Config.

Build the routine

  1. In the Routine panel, click Add Call, Add SMS or Add MMS to add an action.
  2. For each action, set the time of day it runs.
  3. Choose Daily or Weekly. For Weekly, click the day letters to pick the days. The line under a call action confirms the schedule, for example Calls will be made on Monday & Thursday.
  4. For an SMS action, type the text, or leave it empty to let the AI write the message.
  5. For an MMS action, type the text and click Upload to add the picture.
  6. To remove an action, click its delete icon.
  7. Click Update Routine. Actions are saved in time order.

Routine actions

The Routine panel with three numbered action cards: 01 a call set to Daily at 10:00 with the note 'Calls will be made daily, including Saturday and Sunday', 02 an SMS set to Weekly with M, W and F selected, and 03 an MMS with text and an uploaded image.

Daily means every day

A Daily action runs on Saturday and Sunday too, as long as your working hours allow it. Use Weekly and pick weekdays if you don't want weekend contact.

Who gets followed up

At each action's time, Bigly checks your leads and includes a lead only if all of these are true:

  • They were added within How many days to FollowUp.
  • They haven't converted.
  • They aren't on your do-not-call list (for calls) or do-not-text list (for texts).
  • They haven't reached your maximum number of calls or messages.
  • They aren't currently in the middle of a first-day follow-up.

Bigly's compliance checks still apply to every follow-up call and message.

Troubleshooting

Nothing is being sent. Check that Enable FollowUp Configuration is on in AI settings and that the action's time falls inside your working hours.

A lead stopped getting follow-ups. They may have converted, opted out, reached a limit, or been added more than How many days to FollowUp ago.

My routine disappeared after I left the page. Click Update Routine before leaving. Update Config saves only the limits on the left.
